We usually use Gmail as our preferred email provider. Even those who rely on other means such as custom domain IMAP email accounts have a Google account and use Gmail to some extent. With the number of emails we receive on a daily basis, it is easy to delete an email only to realize its importance later. So the question is how do you recover deleted emails? Backups. A simple search on Google will tell you about the countless horror stories where users’ Gmail accounts have been deleted. Another reason to backup are the high-profile hacks Facebook, Microsoft, Google, and most recently Quora have been dealing with over the past five years. So want to take your chance with Gmail? 1. Thunderbird
There are many email clients available for desktop, but I’ll be using Thunderbird for this guideWhy? Because it just works. There is also a portable version available that allows you to store all your data on a pen drive and view it offline. To back-up From Gmail emails, go to Forwarding and POP / IMAP in Settings and turn on POP for all emails.
When you start Thunderbird for the first time, you will be asked to enter an email ID and password. Enter your Gmail credentials there. You can also add a new email ID under Accounts> Setup up an account> Email as seen in the screenshot below.
When you click Continue as seen in the screenshot above, Thunderbird will automatically get the necessary port addresses. Click Done and it will create all folders and subfolders to download emails from your Gmail account. It may take a while depending on the size of your Inbox and the internet speed.
You may be asked to sign in again and give Thunderbird the necessary permissions.
You should now see all the folders on the left pane and your emails on the right. Let it sync your account for a while.

2. Trash can
When you receive an email, you can glance at it and click delete button if you feel it is not helpful or not worthy of further attention. If you want to restore it later, you can do that, but it has some limitations. Any email you delete in Gmail goes to the Trash folder where it will remain up up to 30 days. If you are unable to recover emails during that period, Gmail will automatically delete those emails from the Trash folder. Open Gmail in browser or to restore mobile, open the Trash folder and locate the email you want to restore to the Inbox folder.
On the mobile, long press the email and tap the white envelope icon to move the email back to the Inbox folder. Of course, you have to click the Move To icon (folder with right arrow) to move the email back to the inbox.
3. Google Pickup
Not many people know about this, but Google offers a way to delete and store locally any data you have on Google’s servers. Visit Google Takeout When you land on the takeaway page, you will notice that the list is quite long and includes all Google apps and services. For this post, we will be focusing only on Gmail. Scroll down to find it and click on the drop-down menu. You can select all emails (what I recommend) or select by labels.
Scroll to the bottom of the list and click Next.
Choose the file type, archive size and delivery method. This can be email or directly to your chosen cloud storage service. You can also leave it on the stand.
If you click Create Archive, your data will be assembled and emailed to you in a matter of hours to a week. The files are in .MBOX format for which we need a file viewer. We can use Thunderbird or MBox Viewer. Since we’ve seen Thunderbird in action, I’ll show you how to use MBox Viewer. Launch MBox Viewer, a Windows only app, so if you’re on a different OS, go for Thunderbird. Select the Google Takeout file once you are signed in.
That’s it, folks. You can now view emails from your Google Takeout Gmail archives at any time. You don’t need to install MBox either. MBox Viewer also has a pro version, but the free version should be good enough for you. Download MBox Viewer
4. Gmvault
Gmvault is free and open-source software to download and view Gmail emails, but that’s not all. You can schedule backups, eliminating the need for backups, as we saw with previous methods. You can also use it to move emails to another Gmail account. Useful! Download Gmvault for Windows or macOS from the link below. You start by enabling the IMAP option under Gmail settings in the POP / IMAP Forwarding tab.
Now open Gmvault and it will greet you with a command shell line. Do not freak out. Enter the following command to sync an email ID from Gmail: gmvault sync account@gmail.com You will now have an open tab in your browser asking you to give Gmvault permission to access your Gmail ID. You must log in to your Gmail ID in the browser first.
Once authorized, go back to Gmvault and just hit Enter on your keyboard. Gmvault is now starting to decline up all your emails automatically.
Here are some useful commands you can use in Gmvault. Update backupup: gmvault sync account@gmail.com Only view emails from last week: gmvault sync -t fast account@gmail.com Recover emails to another Gmail account: gmvault fix newaccount@gmail.com To schedule backups, open Task Scheduler in Windows by searching for it.
Click Create Task.
Give your task a name for easy remembering and set the Trigger to Daily, Weekly or Monthly as desired.
Under Action, click Start a program and locate the gmvault.bat file that can be found in this type of location on your computer: C: UsersNAMEAppDataLocalgmvaultgmvault.bat Below that, add the following argument. sync -t quick account@gmail.com
Done! If you have a manual backupup To create without opening Gmvault or to check if the task you have scheduled is working properly, go to Task Scheduler Library and select the Gmail task name you entered earlier. Right click on it and click Run. Gmvault should open and back upup must start.
