How to Use the New Microsoft Outlook Calendar Board View – Guide
Microsoft recently introduced a handy new Outlook feature – A Kanban-style board view in the Outlook calendar. The new feature, currently only available in Outlook on the web, lets you pin cards with useful information to a project board. These cards can contain calendars, notes, to-do lists, links, and other items. Some items on these cards may interact with your main Outlook calendar. Outlook whiteboard view is available if you have a paid Microsoft 365 account or a free Outlook.com account. (See Microsoft 365 plans for home small business and business, or subscribe up for a free Microsoft account.) Microsoft is making its first major change to the Outlook calendar view in years. A new Outlook calendar view is coming soon to Outlook for the web and will work similarly to Trello. It’s a new dynamic view that lets you organize meetings along with tasks, notes, goals, links, files, and more. This calendar works as an ever-growing framework trying to centralize everything related to maintaining a clean and up- updated calendar. In addition, Outlook is fully integrated with contacts, email and other features. With this calendar view, you don’t have to switch between different apps and tools to manage your time. How to Use Microsoft Outlook’s New Calendar Board View
Accessing the Outlook Calendar Board
To access your Outlook calendar, go to outlook.live.com or outlook.office.com, depending on which account you are using. The calendar icon is on the left edge of the toolbar. Tap this icon to open the Outlook calendar. Once it opens in the browser window, click on the Month button button in the upper-right corner of the calendar page. You must also select ‘Plate’ from the drop-down menu that opens. Note that in place of the month, the button may also appear as Work Week, Week, or Day.
Adding or removing items from your board
You easily remove or add items on your calendar board to make it work best for you. If you want to remove an item, click on the three dots in the calendar frame at the top right. This should open up more options where you can choose ‘Remove from board’. You can also select the item you want to remove and choose ‘Remove from frame’ option. To add items to your board, simply tap on the ‘Add to Board’ icon found in the upper left corner. Then click on the ‘Show All’ icon found at the bottom to display the available things. You can choose additional items like clock, location, weather and a link. Once you’ve selected the proper item you want to add, it should appear in a blank spot. You can then drag the new item to where you want to place it.
Rearranging your board
The Microsoft Outlook calendar gives you the flexibility to organize your board however you like. You just need to click on the item you want to move, drag it to the new location on the board and drop it. When moving your items around the board, there is usually a weak line that can help you pave up your things in order. The calendar also allows you to move a group of items. If you want to move a group, hold Command on Mac or Ctrl on Windows while tapping each item. The border of each item should turn blue as you select the desired items. After selecting all items, drag them to move the group. Please note that this Outlook calendar limits you to using only the space you see. You can choose to move items down beyond the bottom or to the far right. Be sure to slowly drag items to an off-screen location and the screen will move. To see the items you’ve rearranged, click and hold the blank space in the calendar frame. You will notice an outline in the lower right corner. Move the screen until the outline shows the items you need to see. You can also secure items in their specific locations by locking them to avoid accidentally dragging them. Block them by activating the block items toggle found on the upper right side of the board.

Below are the cards you can include in your board and different ways to interact with them.
Calendar
After activating the board, you will receive a pinned card version of your calendar. You can interact with the card the same way you interact with the calendar when you are not in board view. You can invite people in your contacts to an occasion, add a reminder on a date, and much more. Still, you can pin additional calendar cards for different purposes, like one just for work and one for other activities outside of work. Select ‘add to board’ and choose calendar to add a calendar card.
to-do list
The Microsoft To-Do app is linked to the to-do list, so the task you have in the To-Do app appears by default after adding a to-do list card. If you don’t use the app, a blank to-do card should appear. If you want to add tasks, select ‘Add a task’, describe the task and click the add button button. You can add as many tasks as possible. Use the star icon to mark a task as important.
time and clock
You can also pin cards to display the time or weather for your location or other cities. A single clock card shows the current time in multiple locations, but each time card displays only one location.
Goal
You can use this card to define something you need to do. Once you’ve added a goal card, tap ‘what’s your goal’ and enter a short description. Also, set the date on the calendar. If you want to change the date, edit it by clicking on the three dots in the upper right corner.
Localization
The location card shows a thumbnail of the map and details of a location. After adding the card, click ‘Enter a location, enter the name of the location and choose one of the options that appear. O phone number and address may also appear.
Person
Pinning this card prompts you to enter the person’s name in your Microsoft Contacts. You will then see the person’s name, phone number, email address and more.
Collection
This is a card containing other cards. You use it to organize other cards to avoid cluttering your board. To add cards, click and move cards to the collection card area. Alternatively, tap the three dots in the top right corner, choose ‘move to collection’ and select the location to move it to.
