Sharing files using cloud services has never been easier, and Dropbox recently announced a new one feature that makes it even easier. Even though the overall procedure is quite simple, let’s understand that clearly first so we can investigate afterward how to make the best use of it.

To start

The process begins by logging into your Dropbox account on the web. On the left you will now see a new file request option. Clicking on it will give you an option to make a file request.

Once you click on that, you will be greeted with a dialog box asking you to enter the name of the file you are requesting. Dropbox suggests creating a new folder to place this file in, although you can select an existing folder to add this file to.

Then Dropbox will retrieve the URL created for this particular request. You can copy and paste the link to another IM (Instant Messaging) or mail app, or you can just type in the email address of the person who has the file and Dropbox will notify them.

Note: You can even integrate your own address book here to enter email IDs, which is especially more convenient when sending the same request to multiple people. Copying and pasting the URL is a much easier process, but entering the email address will send an email to the person with the options below.

Once the user clicks the Upload files option, the Dropbox webpage will open with a prompt to upload the file.

Whether the user has a Dropbox account or not, he can still upload the files, but the user will still be prompted to enter his first and last name along with his email address. This seems like an unnecessary step to go through, especially considering the next brutal screen a user will get, which is signing up for Dropbox if they don’t have an account on it.

That is it. The person who was supposed to upload the files has now done their job and the person who requested the files will receive an email confirming that the files have been received, with a direct link to the files in question.

But is it really useful?

Ah, yes, that’s the real question here. I felt this feature is certainly useful for people working on a collaborative project where work is delegated to different people. If you don’t have all the information for the work assigned to you, you can easily request files that you think will be useful to complete the assigned task. Moreover, it also helps friends who want to share images / videos from their own devices for the party they attended together. Even teachers can collect assignments from all their students feature as there is no limit to the number of people the request goes to. Avoid clutter, organize neatly

A scenario may arise in the near future when you use this feature for a while and kept adding folder names to newer tasks. This just adds more clutter to your Dropbox account, especially considering that the files added by default go into the File Requests folder. To avoid this, use any existing folders you may have on your Dropbox account that are already associated with the projects you’re working on. If you want to add images / videos from a group of files to your collection, it is best not to add them to your Camera Folder with uploads, as this will not give you a clear separation between your other photos and photos for a particular event. You can sort by date and time, but that is not the optimal solution. In such cases, it would be better to assign a new folder and even add your local photos / videos to this collection. It looks like Dropbox added this feature to get more users on board, who can see how easy it is to share files with multiple users via the cloud. But there is also no doubt that it is useful feature that will go a long way in helping the lives of people working on collaborative projects with dozens of files to be shared. While email just isn’t that effective anymore, IM services have limitations, such as backing upup of the files being shared.
