Tons of app options for to-do lists available in the App Store and Play Store will no doubt confuse you. That said, Microsoft To-Do has quickly made a name for itself. I believe acquiring Wunderlist must have helped to some extent. Any.do is another to-do app that ranks higher in the popularity charts despite increasing competition. So we’ll compare these two and put their pros and cons in a better light. While the basic function of any to-do app is clear, there’s a lot going on under the hood that can go wrong. We will try to uncover those aspects that are rarely talked about. Let’s start.
1. User interface
Both Any.do and Microsoft To-Do apps have a polished and beautiful interface. Microsoft To-Do comes without a bottom or sidebar. Just a bunch of smart lists at the top and below that are the lists and groups you created. You need to tap on your profile picture to access Settings.
At the bottom left is the familiar ‘+’ icon to create a new list. On the right is a frame icon to add a list. Enter a list to find more options about what to do with that list and the tasks it contains. Like To-Do, you have to go back and forth to switch lists.
Any.do follows the grid layout with a bar at the bottom where you can access Tasks, Calendar and Settings. At the top there is a separate tab for accessing tags. I hope Microsoft To-Do will add hashtag support soon.
2. Create tasks and lists
Tap the ‘+’ icon in the lower left corner to create a list in the Microsoft To-Do app. You can type in a name, but more importantly, choose a color and a photo. There is no way to upload a new photo yet and the options are limited. Have you noticed the smiley icon under the New List window? That’s for choosing an emoji.
Within the list you can add tasks and add due dates and reminders and set them to repeat.
Tap the newly created task to customize it further. Highlighting a task by pressing the star icon will add it to the important smart list. You can add additional notes at the bottom and attach files for further reference. Surprisingly, you cannot add files from cloud storage. There is also no OneDrive supported.
An interesting option is the possibility to add Steps. One hidden trick is the hashtags (#keyword). Tapping a hashtag in a task displays any tasks that may belong to another list or group.
Any.do comes with a lot less smart lists than To-Do. There are no important, completed, or all lists. Just four time-based lists: Today, Tomorrow, Upcoming, and Ever. They are all listed in the All Tasks list. Tap the ‘+’ icon again to create lists and tasks.
The shopping list will load by default and it will suggest some common household items for you to add. You can add a person, hashtag, reminder and assign a list using the bottom bar while creating a task. Any.do has chosen up a thing or two from the GTD system developed by David Allen. You can quickly assign the task to smart lists such as Today or Someday.
A cool one trick is the ability to add location-based reminders. You never forget to choose something up on the way homeI miss that feature in Microsoft’s To-Do app. So you can add notes and subtasks (Microsoft calls it Steps) and share lists with others. You can also record an audio or video in Any.do and attach it directly without opening or using any third-party app. That saves time for people who like to record voice notes.
There is a devotee button for adding tags that are quite colorful in nature and indicate importance level or progress.
3. Calendar and app integrations
Any.do comes with a special calendar tab that syncs with your phone’s default calendar app. I am using google calendar and everything is synced well. You can create a task or event here. A Calendar task is the same as any other Any.do list task. An event is for listing events such as birthdays.
Microsoft has Outlook, a powerful email and calendar management app used by users and businesses around the world. To-Do integrates with other Microsoft apps such as Outlook, Launcher (Android), Cortana, Planner and even OneNote. It becomes indispensable if you are using Office 365 app suite.
Both Any.do and Microsoft To-Do work with Zapier, allowing for a plethora of app integrations.
4. Platform and prices
The Microsoft To-Do app requires a Microsoft account, which most of us have thanks to Windows and Outlook. The app is available on Android, iOS, Windows, macOS and the web. The consumer version of the app is completely free with no ads. A great job to beat. Any.do is available on all popular desktop and mobile platforms. For the web, I offer browser extensions / add-ons and smartwatch access for Apple Watch and Wear OS. The free version is very limited with even basic features such as recurring tasks that are missing. Pricing starts at $ 5.99 per month and will unlock features such as tags, location-based reminders, color coding and recurring tasks.
For those who do
Microsoft To-Do seems like a better alternative. It’s free, has better smart lists, offers a wealth of features, and syncs between devices and apps. All that’s missing are location-based reminders. Any.do offers that and then some extra bells and whistles. That calendar integration looks great, but smartlists would have been great. Outlook users get both calendar and email. Still, Any.do is a solid to-do app and is great bang for your buck for power users. I recommend that you take full advantage of the 7-day free trial first.
